Tools that watch rather than make

The unifying thread here is that almost nothing on this page produces a new artifact. Meeting recorders, inbox assistants, note apps, search over your own documents — they attach to work that was going to happen anyway and try to remove a step from it. That inverts the usual evaluation.

Output quality still matters, but it stops being the deciding factor. Two things replace it. First, access: a tool that cannot read your calendar, your mail, your drive or your ticketing system cannot help, no matter how good the model behind it is. Second, exit cost: because these tools accumulate your history, leaving one is harder every month you stay.

The frontier chat assistants show up here too, and reasonably — for a lot of people the general-purpose model is the productivity tool, and the specialised apps are competing with a chat window that already works.

What to check before you connect it

What it retains, and whether it trains

These tools ingest meetings, mail and internal documents. Retention windows, training opt-outs and deletion guarantees are the specification here, and they are frequently different on the free tier than the paid one.

Consent, not just compliance

Recording a call involves everyone on it. Two-party consent rules vary by jurisdiction and the tool will not manage that for you. Decide the policy before you roll it out.

Integration depth against your actual stack

A read-only integration that dumps a summary into a doc is worth far less than one that writes back into the system where the work is tracked. Check which one you are buying.

Per-seat cost across the whole team

Individually these are cheap. A company running six of them at $10 to $20 a seat is spending real money on overlapping capability, and the overlap is rarely audited.

The parts that stay annoying

  • Transcription still degrades on accents, crosstalk and specialist vocabulary, and the summary inherits every error underneath it without flagging any of them.
  • Summaries compress by discarding, and what gets discarded is chosen by a model that does not know which detail your project turns on.
  • Tool sprawl is self-inflicted. Each app is individually justifiable and the combined bill and combined data exposure are the things nobody owns.
